DQS Compact: Are you safe enough?

Welcome to this year’s third edition of DQS Compact, where our editiorial team has once again collected stories from various DQS offices, standards and customers the world over.

DQS do Brasil – 25 years of sustainable success

In August 1994, DQS took the first step towards its internationalization: after a visit of DQS´ Managing Director Joachim Pärsch to São Paulo and his recommendation to their shareholders for the founding of a company of their own in Brazil, Michael Drechsel was hired to open and manage the first DQS subsidiary outside of Germany.

 

São Paulo was a natural starting point for the international expansion of the DQS activities because, at that time, the city had the biggest concentration of German companies outside of Germany, many of them with headquarters already certified by DQS.

 

After registration of the company and renting of office space, the activities started immediately with a small team, composed of only three employees and two external auditors. The first employee was Ms. Dezée Mineiro, a Brazilian sales expert, who also celebrates 25 years at DQS this year. She has been the Managing Director of DQS do Brasil for many years now.

 

From the beginning, it was clear for the local management that the business in Brazil should be self-sufficient and all cost should be covered by the income generated in Brazil. Michael Drechsel still remembers the first months: “every last day of a month I had to check the bank account and sometimes I had to delay my own salary in order to assure the timely payment of the employees”.

 

Fortunately, the situation improved soon and at the end of the year 1994, the newly established company counted nearly 50 clients already. While the first clients were subsidiaries of German industry groups like BASF, Hoechst, Westfalia and Alfred Teves, a partnership with a local certification body and local accreditations of their own soon facilitated access to local companies, as well.

 

 

DQS do Brasil quickly became a strong player in the disputed Brazilian certification market and was pioneer in many areas: in 1995, DQS do Brasil granted the first ISO 9001 certificate to a Brazilian Bank and in 1996, DQS do Brazil was the first Brazilian certification body to receive the accreditation for QS-9000. Many reputable national and international companies have been certified by DQS do Brasil, which soon counted such famous names like Volkswagen, Ford, Bosch, Bayer, Yamaha and Gillette in its client portfolio.

Other important milestones in the history of DQS were the opening of the first representative office in the city of Recife-PE in the Brazilian Northeast, run by Julio Gehring, in 1999 and the acquisition of their own office space in the year 2001.

In January 2004, a new period for DQS do Brasil began: after Michael Drechsel moved to Germany and became Managing Director of DQS GmbH, Dezée Mineiro took over the responsibility for DQS do Brasil as the new Managing Director.

Since that time, Dezée has been running the company with a local team of approximately 20 employees in the office and 60 external auditors. With a lot of dedication, technical knowledge and a strong customer focus she managed to lead DQS do Brazil successfully even during the very difficult political and economic crisis that hit the country in the course of the last years. DQS do Brasil is also responsible for the activities of DQS in Peru, and established a subsidiary of their own in the neighboring country of Argentina in 2008.

HARD TO GRASP – WHY FOOD SAFETY CULTURE IS SO IMPORTANT

BRCGS Food Version 8 is the first GFSI certified standard to include requirements regarding a food safety culture. In the near future, this will become the rule rather than the exception, as the Global Food Safety Initiative (GFSI) is going to publish its updated benchmarking requirements in February 2020. One of the most important elements of the coming revision is the introduction of requirements regarding food safety culture. But what exactly is a culture of food safety, how can you evaluate and stimulate a culture of food safety and why is this so important?

  1. What is food safety culture?

The GFSI technical working group defines food safety culture as, “shared values, beliefs and norms that affect mindset and behaviour toward food safety in, across and throughout an organization.” Does this sound a bit fuzzy to you? Let’s take a closer look at the definition:

“Shared Values, Beliefs and Norms”
Culture of any kind lives not in individuals, but in groups. Values are shared with new members of the company and operationalized in groups through norms and behaviours. This sets formal systems apart from culture: the input of formal systems goes through human translation within the group to become norms and behaviours, which subsequently are shared and learned by new members of the group. This is one of several reasons why culture is perceived as hard to change. We are not changing formal systems, but rather the underlying norms and behaviours that are in many cases unwritten and sometimes unspoken.

“Affect Mindset and Behaviour”
Psychologically, our beliefs, mindsets and behaviours are impacted by multiple factors including our national culture, upbringing and life experiences. In a work environment, we are affected by the group we identify with, including our department, coworkers, our role and position, job security, formal and informal authority, and our own habits and consciousness around the job at hand. So, when we seek to not only understand how mature our food safety culture is but also how to sustain and further strengthen it, we should understand how the company’s overall values and mission affect the thinking of the individuals within their respective groups. For example, are each person’s functions, roles and expectations clearly understood, and have they been a part of defining these roles? Do they understand how their roles contribute to the organization’s mission or purpose? These are examples of questions whose answers affect how groups and individuals view senior leaders’ commitment to food safety. They are essential to any organization’s food safety culture.

“Across and Throughout the Organization”
A food safety culture is not a “one size fits all” proposition. Making it a reality means that throughout the organization, food safety has been defined for each member and department in terms and expectations that are both relevant and clear to them. What is required of the purchasing department, for example, is different from the requirements for the maintenance team. Purchasing should understand the importance of selecting suppliers that are both economically viable and deliver on the company’s food safety requirements, not one or the other. Similarly, a maintenance leader should look out for the condition of the equipment to maximize up-time as well as food safety performance. For smaller organizations, the owner/operator leads by example and influences food safety culture significantly. A mature food safety culture is one in which the company vision and mission have been broken down into the finer details of expectations for every department and person throughout the organization.

  1. How can we evaluate and stimulate a food safety culture?

In comparison to standards and laws, it is not possible to simply implement a food safety culture. It is a spontaneous and instinctive development which manifests in rituals, work climate and core values.

To stimulate something that hard to grasp, it is necessary to analyse the current status of the food safety culture. The BRCGS Food Safety Culture Excellence Module can provide assistance in this regard. The system is a result of over 19 years of academic research and industry experience and is based on a system that deals with four dimensions of food safety culture: People, Process, Purpose and Proactivity. An anonymous online survey pictures the current status of the food safety culture and results in a report that reflects the state of the different food safety culture dimensions. GFSI has published a position paper regarding food safety culture that deals with three main topics:

  1. The essential role of executives within an organization (a point that also plays a significant role in the revision of ISO 9001: 2015)
  2. Factors such as communication, education, cooperation and personal responsibility
  3. Skills such as adaptability or risk awareness to translate food safety practices from theory to practice

  1. Why is food safety culture so important?

A corporate culture that values food safety shows employees directly and indirectly that food safety is important and necessary to be successful in the company. This influences the behaviour of employees and helps to ensure that they appropriately.

Because cultural standards don’t follow formal rules and straight lines, are often shared via casual conversations and reinforced through thoughts and actions, they affect us unconsciously. It is however possible to have an impact through the unconscious: BRCGS surveys show that companies who took the Food Safety Culture Excellence Module reported being able to reduce the risk of incidents by 84%. In this light, it makes total sense that 80% of food professionals think that creating a food safety culture is the most important job of any technical director.

Quality in logistics – trained by TAPA, certified by DQS

Transportation, warehousing and distribution – safe and certified.

Reliable drivers, controlled temperatures, and the safety of transports and IT systems are some of the major concerns among logistics service providers these days. In the age of “one-click” purchases, markets have become more transparent, while supplier relationships have grown more distant. To offset this lack of personal control, the industry has developed several standards and quality seals to demonstrate quality, reliability and trustworthiness.

Recently, DQS Group partnered with TAPA (Transported Asset Protection Association) to qualify auditors and experts from many countries and several organizations for both TAPA FSR (Facility Security Requirements) and TAPA TSR (Trucking Security Requirements). Following an earlier training in Germany in March this year, it was now DQS Hellas’ turn to host two training sessions for another 25 future TAPA authorized auditors from a number of organizations in the logistics and security industry. Special thanks go to DQS Hellas and the two TAPA trainers Dr. Panayiotis Laimos and Ms. Chrysanthi Laimou for their excellent training, and congratulations to all participants!

DQS is part of the limited number of certified bodies permitted to pursue audits and certification according to the TAPA standards in the EMEA region (Europe, Middle East, Africa). Since the beginning of this training project, DQS has successfully tripled the number of qualified TAPA auditors on the official TAPA website. With this and many other new qualifications, DQS continues to expand our competence in the logistics sector.

Sebagai kantor perwakilan DQS Holding yang berada di Indonesia,  badan sertifikasi DQS Indonesia tidak hanya mengaudit efektifitas penerapan management system bagi customer dilingkungan DQS, akan tetapi DQS Indonesia sendiripun perlu di audit efektifitas penerapan management system-nya.

DQS Indonesia memiliki sistem manajemen yang perlu dipertahankan kualitas dan  kredibilitasnya, serta  melakukan tindakan perbaikan jika diperlukan untuk peningkatan sistem yang ada.  

Corporate Internal Audit adalah salah satu kegiatan internal audit yang harus dijalankan oleh PT. DQS Certification Indonesia, selain internal audit (local) DQS Indonesia. Corporate Internal Audit ini dilakukan oleh DQS Holding dan hal ini merupakan salah satu kegiatan mandatory dari kantor pusat DQS di Jerman dan di lakukan setiap tahun.

Untuk tahun ini, Corporate Internal Audit dilakukan pada tanggal 27-28 Agustus 2019 dengan Corporate auditor Mr. Yuming Tang dari DQS China. Beliau adalah auditor yang di yang ditugaskan oleh DQS Holding Jerman untuk meng-audit  PT. DQS Certification Indonesia. Beliau saat ini menjabat sebagai Operation Manager di DQS China.

Hasil dari  Corporate Internal Audit tahun 2019 ditemukan finding 1 major dan 2 minor. Hal ini membuktikan bahwa objektifitas tetap di utamakan dalam melakukan audit.

Semoga dengan adanya Corporate Internal Audit menjadi motivasi bagi PT DQS Certification Indonesia untuk melakukan improvement kearah yang lebih baik dan meningkatkan kualitas pelayanan kepada customer.
